Describe the work you expect the software to support
Quality management software supports documents, nonconformities, corrective actions and audit records. If your immediate need is daily task assignment, work tracking software may be a different starting point. Production planning, accounting and inventory can require another scope. List the records that currently become lost, overdue or hard to retrieve reliably.
Turn feature names into three scenarios
A claim of document management alone is insufficient. Follow an instruction revision, a nonconformity arising from a customer complaint and an internal audit finding from start to finish. Use fictional examples instead of uploading confidential customer data. Compare what different roles can see and which decisions they can make.
| Scenario | What to examine | Example acceptance criterion |
|---|---|---|
| Instruction revision | Working and effective versions | Employees can find the effective version while a draft changes |
| Nonconformity and CAPA | Root cause, actions and effectiveness | Evidence supports the closure decision |
| Audit finding | Owner, due date and follow-up | Open and overdue actions are distinguishable |
| Permissions | Viewing and decision rights | Unauthorised users cannot approve |
Discuss the data beyond day one
How will existing document identifiers and revisions be migrated? Who will decide how to handle incomplete records? How will outstanding work be reassigned when someone leaves? Ask about retention, backup, restoration responsibilities and exports before the quotation. A screenshot does not prove these operating arrangements; confirm required capabilities in the demo and scope.
Separate deployment from support
Hosting on your own server or elsewhere changes access, maintenance and responsibilities. Assess updates, security, user support and training separately. If data exchange with your ERP or email system is required, define technical requirements rather than assuming ready-made integration. In a SEZHEL QMS discussion, these questions are scoped alongside the product assessment.
Distinguish software from management responsibility
Determining root causes, assessing the effectiveness of corrective action and ensuring employee competence remain organisational responsibilities. Software helps record and follow these decisions. ISO consulting, certification assessment and software licensing can be considered separately. Purchasing QMS does not determine an independent audit outcome.
Use your own acceptance checklist

Choose a representative process and share your priorities. Record demonstrated steps, requirements still to clarify and exclusions separately in your decision notes.
